FAQs for Active Hirers
Finding, Hiring, and Discovering Creative Talent
-
All WNW subscriptions include the ability to create lists of creatives as well as view creative playlists created by Working Not Working's Talent team.
Both types of lists are viewable in your Dashboard.
By default, a list is organized by members real-time availability status. Within a given status, you'll be shown members in order of when they updated their status from most-recent to least-recent.
In addition, you can parse those lists based on all filters (location, experience, rate, etc) through the "View In Search" button to the upper right. By clicking that button, you'll see all list members in Search, where you can toggle filters to see who matches what you are looking for.
-
If you are conducting a detailed search on Working Not Working, you can now save those search parameters and access them later from your Dashboard.
By creating a saved search, you can also set an email notification schedule to know when new potential candidates match your search criteria.
Here are the steps involved:
1) Begin a search with either free-text entry in the search bar, or by selecting the "Creatives" button in the navigation.
2) Enter your search criteria by using the different filter & tag combinations
3) Once you've entered your search criteria, click the "Save Search" button in the upper right. You can access your search any time from your dashboard, and you'll receive email notifications when new creative members match your search.
If you are a Quarterly or Yearly subscriber with additional team members, you can share your saved searches with the Actions button.
-
Working Not Working uses a creative profile template to allow our members a number of ways to express their skills, experience, and portfolio.
This short video covers the most important aspects of the creative profile.
-
Your Dashboard organizes WNW creative members by their real-time availability across the following categories:
Hot Leads
Saved Searches
Follows
Lists
Talent Playlists
When you view any of these groups through the left hand menu, you will be shown them based on their real-time status. All sections in the Dashboard have the "View In Search" feature, which allows you to bring every member in a given section over into Search where they can be further parsed using all search filters.
Hot Leads
This section shows members who want to work at your company. These members either listed your company during onboarding as a place they'd like to work at, or have indicated it from your company page.
Members who have worked at your company have listed it among their previous work experiences and project descriptions. Read more about this part of the Dashboard here.
Saved Searches
This section is where you can view any saved searches you have created. With a saved search, you can regularly view new members who fit your search criteria. You can also set a notification schedule for how often you want to get alerts for new matching candidates.
Following
This section will show you creatives you are following. They can be viewed either all together or by their primary title.
Lists
As you follow members, you can opt to put them on a list. All your lists will be shown on the Dashboard, including ones you are a part of as a Team member.
Talent Playlists
Finally, the Dashboard is where you'll find WNW's curated playlists. As you choose to follow playlists, they will show as part of the left side menu below your lists.
-
Your Dashboard is where you will be able to save and view the Creatives you are interested in, and allows you to see them organized by their real-time availability.
There are two ways to add a Creative to your Dashboard.
You can add them via the profile thumbnail when conducting a Search or you can add them while viewing their full profile page, via the Action Bar.
Creatives will be notified when you add them to your Dashboard.
-
Creatives and hirers both consistently stress the importance of communication in any job-related interaction. We've added active response statistics to Working Not Working so creatives and hirers now know how quickly they can expect a response from the person they're reaching out to. This will help you be as efficient as possible in your job searches, and even help you prioritize who you're reaching out to.
Your response time is the average length of time it takes you to respond to an incoming message. Your response rate is the percentage of incoming messages to which you respond. These visible metrics help set expectations and encourage quicker and more productive engagement.
-
The Action Bar is a handy tool on every Creative profile that allows you to take some kind of action towards them. You can find the Action Bar right below the Creative's Background Image, to the right side.
You can take several actions towards a Creative:
Follow - will add them to your Dashboard for reviewing later.
Vouch - if you mutually follow one another, you can give them a Vouch.
Favorite - receive an email update when they change their availability status.
Note - make a note on why you're interested. The Creative will not see your notes, but you may share with your colleagues via the Team feature.
-
Your Dashboard is where you will be able to save and view the Creatives you follow. You can go to your Dashboard by clicking on the "Dashboard" tab from any page.
-
Our Search algorithm is designed to show Hirers results that are relevant to them. So, each individual may see different results based on who they are and what search criteria they have entered. Here are the basic factors that Search is weighing:
Recent status update - a current status is better than one older than a month
Completeness of profile - the more relevant detail you include, the better
Completeness of portfolio - at least 3 projects to be found in Search
Connections - more shared connections between you and the Hirer
-
Working Not Working asks every creative member where they want to work through their Top 3 companies and Company Pages.
Your Dashboard has Hot Leads, where you can see creatives who have tagged your company as a place they want to work. You can also see every creative that has listed your company as a previous client or employer without having to go through Search.
-
Your profile thumbnail will be visible on your Company Page, which will allow Creatives to contact you. If you prefer not to receive email notifications of connections or messages, you can adjust your Preferences within Account Settings.
Job Posting
-
To get started with a new job post, go to your Jobs page.
Our short video breaks down how to make your post.
-
Working Not Working job posts expire at the following times:
- Automatically after 30 days
- When a subscription is no longer active (ie at the end of a billing cycle where a cancellation has been made)
We want to keep opportunities fresh for our creative members, and current job posts help us match the right talent to the right opportunity.
When your job post hits the 30 day mark, you'll be prompted to either close it or reactivate it at your next login.
If you're all good on that post, select No to close the job. We'll ask for a few exit details to understand how your candidate experience went.
If you want to continue bringing in new candidates, select Yes and you'll be prompted to confirm all the details of the job post. This is a good time to review your job post performance and make any needed adjustments.
-
In order to complete a Job Post, you'll need to add a Headline. This will be the FIRST thing a Creative sees when they look on our Job Board, so make a good impression by finding a Headline Style that fits your company.
Create a Headline that will draw your applicants in on the Job Board. Some styles allow you to add your own personality, like a Mad Libs game, in the half-tone grey fields, while others will automatically use information you've already entered.
-
There may be times when you, as a recruiter, don't want to post your job live to the job board. Maybe you want to limit the number of applicants you'll be considering, or maybe you want to reach out to a few candidates while the details of the job are still being ironed out.
As long as you have created a job post in draft mode (meaning it is not ACTIVE on the job board), you can still use all the functionality of a live job post including the ability to send it as a message.
Just like with an active job post, you can send the draft job as a message to any candidates you find through search. When you do that, the recipient will be listed as a candidate to your job just as inbound applicants would be when they apply to an active job post.
-
To view your current or expired jobs and job posts, head to the Jobs page and navigate to the My Job Posts section. From there, you can toggle your view to see active vs. inactive job posts. By clicking on the job’s title, you can view all the applicants for your job and edit any details you would like.
-
Understanding your job post's performance is an important part of the hiring process, providing context on candidate interest and insights into its appeal.
With a job post on Working Not Working, you can see the number of views from the community and on which days.
A post with a high number of views but a low number of applicants may signal a need to change the language of the post to make it as appealing as possible.
-
With every Job Post, you'll be provided with Recommendations to save you time and effort.
The members on this shortlist are served up differently than from our standard Search experience and are exclusive to your Job Post specs.
To be included on your Recommendations list, we ask WNW members questions about their work expectations and use their responses to bring the most qualified people straight to you for consideration.
You may invite these members to apply by sending a message. We pre-fill these but you can absolutely edit them to fit your voice and style.
Once invited, these members become candidates and can be managed from the Candidates page.
-
To view your applicants, go to your Jobs page.
Selecting a job will take you by default to your candidates (you can also view Recommendations and Performance details for each job post).
From your Candidates page, you can do several things:
View them in Search
Sort them with filters
Move them in & out of play
View individual candidate interviews
Export your candidates in a CSV file
-
From your Job Post > Candidates page, you can use all the WNW platform search filters to parse your candidate pool with the View In Search button.
Select the candidates you want to see in Search using either the selection boxes or sort them using the Candidate filters.
Once you've indicated the candidates you want to see in Search, just click the View In Search button.
You can then see only the candidates you've selected in Search, where you can parse them further using all available search filters.
-
You can set your preference for receiving notification emails by going to your Settings & Billing > Preferences.
Email notifications about job applicants can be set to one of four options:
No emails - only see applicants when logged in to WNW
As soon as someone applies - a notification for each individual applicant
Once a day digest - all applicants from one-day period in a single email
Once a week digest - all applicants from a one-week period in a single email
-
No, applicants will not know if you click "In Play" or "Out of Play". That is just for your reference.
-
Working Not Working job posts expire at the following times:
- Automatically after 30 days
- When a subscription is no longer active (ie at the end of a billing cycle where a cancellation has been made)
We want to keep opportunities fresh for our creative members, and current job posts help us match the right talent to the right opportunity.
When your job post hits the 30 day mark, you'll be prompted to either close it or reactivate it at your next login.
-
Here are some tips to bringing in more candidates on your talent search:
Follow members you already know.
When you follow people you already know on WNW, those connections help inform your search results. You'll see who they are following, and your search results will give higher ranking to members with 2 or 3 degrees of separation from you on the network.
Consider remote opportunities.
Is your job currently listed as on-site? Our members are very frequently open to remote work, and remote jobs open up a wider array of talent.
Search and message.
Once your post is up, you can send it to any member you find in search along with a message as to why they should apply to your job. This proactive approach allows you to efficiently hone in on exactly the type of professional you're looking for.
-
If you have a job post with applicants, you can export a list of those candidates as a CSV file to be used in a spreadsheet or ATS platform.
This can be done from the job post under "Candidates".
Once you're there, you can use the Actions button to see a dropdown menu of possible actions to take. Select "Export Candidates" to download your CSV.
Your CSV will only include those candidates who have agreed to have their email addresses shared. By default, candidates who applied directly to your job will be included. Candidates who you have invited will need to agree to release their emails when they respond to your invite.
You can modify which candidates are included in the export by toggling the filters for interest, rate, experience, role fit and vetting.
-
Any job you post for your company integrates right on to your Company Page, no extra step required.
Reaching out to Creatives
-
To message applicants to your job, go to the My Jobs page.
You can use the filters to select which candidates you'd like to reach, or remove all filters and select everyone. With the batch selection tool, you can send a single message to multiple candidates.
By selecting at least one candidate with the selection tool, three actions will appear to the upper right.
Click on "Message" to generate the message dialog box, and click "Send" when you're ready. This will message the candidate(s) and generate an email notification as well.
-
A Creative will know your name and company if you Follow (or Vouch, with mutual follows) them or someone in their network. They will see you in their notification feed.
When you Follow or Vouch for a creative they receive an email that says "________ from ______ is now following your availability on Working Not Working."
Your contact info is never included in those emails, so you'll never be exposed to unsolicited emails from creatives. You can also toggle your Message Preferences from Account Settings > Preferences.
-
Rate is supposed to be seen as more of a guideline than anything else. That being said, here are the breakdowns across currencies.
$: 0-50/hr or 0-500/day
$$: 50-100/hr or 500-1,000/day
$$$: 100-150/hr or 1,000-1,500/day
$$$$: 150+/hr or 1500+/day
£: 0-20/hr or 0-200/day
££: 20-40/hr or 200-400/day
£££: 40-60/hr or 400-600/day
££££: 60+/hr or 600+/day
€: 0-30/hr or 0-300/day
€€: 30-60/hr or 300-600/day
€€€: 60-90/hr or 600-900/day
€€€€: 90+/hr or 900+/day
-
Once you've created a new job post, we encourage you to search the WNW network to find strong potential candidates.
You can share your job opportunity with anyone you find in search by sending them a message and including the post. Select "Send A Message" from the action bar on their profile.
You'll be able to then send a message AND include any job posts you have saved, including ones that are not live on the job board.
Once you send this message including your job post, that WNW member becomes a candidate to your job and can be viewed on your My Jobs page along with candidates who apply from the job board.
-
For all your job-related messages, you can find them on your Jobs page, in the My job Posts section.
-
Creatives will be notified anytime a Hirer views their profile, but subscribers on Yearly plans are able to browse anonymously.
Anonymous Browsing does not affect Follows or Vouches. Users will know the identity of anyone who Follows or Vouches for them.
-
You have to unfollow a Creative if you want to remove them from your Dashboard.
From your Dashboard, hover over their portfolio preview image. Click the "Following" button in the upper left corner.
The Creative will no longer show up on your Dashboard, unless they're part of a Team list or curated Playlist.
-
Creating a List will allow you to organize and track talent by need, whether for a role, a project, or an entire department.
As you make them, your Lists will be found on the Dashboard.
To put a member on a List, you'll need to follow them first.
You'll have the option to add that Creative to a List, either Personal or shared with your Team (if you're using Teams). If this is your first List, you'll need to give it a name.
If you've already created a list, just select which list you want to add them to.
-
Playlists are lists of creative members curated by Working Not Working. They are designed to help you discover new ways to harness the amazing creative talent within our community.
Followers and Vouches
-
Followers are people in your WNW orbit. They are who you see news about in your Notification feed. The Creatives that Hirers follow are the ones that they see in their Dashboard. Visitors to your profile can see who follows you and who you are following. Hirers who favorite Creatives will get an email when that Creative becomes AVAILABLE or AVAILABLE SOON. Creatives are notified by email when a new person begins following them.
-
Followers and the users that you follow are people in your WNW stratosphere of varying levels of relationship. Vouches are a step of beyond this. A Vouch is a stamp of approval you can give to members. Vouches should only be given to people you've worked with and are willing to put your name behind. To Vouch for someone just click the "Vouch for [name]" button in the right column of their profile. They will be notified by email. Others will be able to see who you've vouched for on your profile.
Remember: A Vouch isn't a "like" button. Only vouch for people you've worked with and know are legit. It's like the mafia, but with slightly more dramatic consequences.
We encourage you to search and Vouch for people you know. Your Vouch will help Creatives increase their chances of getting hired and allow Hirers to feel confident booking new talent because of the endorsements of people they already know and trust.
-
Yes. Creatives receive an email notification when a user follows them. For Hirers, that includes the hirer's name and company. Both Hirers and Creatives can also locate their followers anytime in the Followers section of their profile.
-
All WNW members (creatives and hirers) can see who has vouched for you and who you have vouched for. So make sure you only Vouch for people you know and are willing to stand behind.
-
The Feed page is a great place to Discover and Follow other Creatives in the community. You will see Notifications on this page anytime someone you went to school with and / or that you may have worked with in the past joins WNW. When a user Follows or Vouches for Creatives in the community you'll also see this on the Feed page, and the multiplier effect from that can be considerable. Finally, there is also a Discover tab that you can find Creatives through on this page.
-
Followers are people in your WNW orbit with varying degrees of acquaintance, from colleague to co-working space neighbor.
Vouching, on the other hand, is a level above this. When you vouch for someone you are saying that if you were unavailable, anyone you've vouched for would be a great replacement.
In order to vouch for a Creative, you both have to be Following one another. To Vouch for someone, click the "Vouch" button on the Action Bar. That person will be notified by email that you gave them your seal of approval.
-
Yes. In fact, it's encouraged. When you follow another creative, everyone in their WNW network, as well as yours, will see the notification. In turn, more of the creative community will see your work. The multiplier is quite considerable.
You will both need to follow each other to view each other's social media links and portfolio, as well as to Vouch. We do this because it reduces the likelihood of headhunters abusing our platform and sending Creatives unsolicited requests elsewhere.
Having Followers also looks great in the eyes of the Hirers in our community, because it shows them that you're active in the community and your industry as well as a talented creative professional.

You can view your Team details from your account settings HERE.
With Team features, you're able to share:
- Job Posts
- Saved Searches
- Lists
- Notes
To use a seat as part of a Team, an Admin must invite you and then give you Admin permissions as well.
-
You can send out links to the profiles of Working Not Working members on your radar. These links can be viewed without a WNW account but will expire after 48 hours.
This option can be found right on your Jobs page, in the same place that you can view your individual applicants.

Team Viewers are only able to see applicants to jobs that have been shared with them to provide candidate feedback.

Sharing a saved search with your team can help keep everyone on the same page.
Our short video shows you how it's done.

All Quarterly & Yearly subscriptions come with the ability to create a Team and perform functions such as sharing Notes, Lists, Jobs and Saved Searches with your colleagues to stay organized.
This short video shows how to set your team up.
-
If you're on a Team subscription plan and have already set up a Team, you can give your teammates visibility on applicants to any job you create by making it a shared job.
This setting can be toggled either at the creation of the job post, or by editing it later.
Check out this short video to learn how to share a job post.
